How to create email rules
Rules tell QuickReplies which Gmail messages to watch and what to do when one matches.
Open the rule editor
From the dashboard, click Add New Rule or open Create a rule directly. You can edit existing rules from the dashboard table at any time.
Name your rule
Give the rule a short name you will recognize later—for example "New Zillow leads" or "Support auto-reply". Names are only visible to you.
Choose who triggers the rule
Under "When I get an email from", enter sender addresses or domains to watch. You can list multiple senders separated by commas. Leave this broad or narrow it to specific lead sources.
Add keywords and actions
Optional keywords filter messages further—QuickReplies only runs the rule when the subject or body contains one of your phrases. Then add one or more actions:
- Send an email — reply to the original thread or send a new message, with optional placeholders like {name}.
- Send a manual text — notify your phone so you can review and send from your personal number (see the manual text setup guide).
- Send an automated text — use an approved Twilio template to text the recipient automatically.
Save and enable
Click Create rule (or Save when editing). Back on the Dashboard , use the toggle to enable or disable the rule without deleting it.
Monitor activity
The dashboard chart shows outbound emails, push notifications, and automated SMS over time. Open a rule to see per-action stats when available.
